Real Estate Coordinator- Facilities - Day

Location: WellSpan Health, York, PA
Schedule: Full Time

General Summary

Provides support for the Real Estate Services, Design & Construction and Property Management departments, including, but not limited to, site selection and evaluation, lease and purchase agreement preparation and database administration.

Duties and Responsibilities

Essential Functions:

  • Performs a variety of duties related to site selection and evaluation, such as: assisting project owners in developing a site selection strategy; conducting market research on sites; identifying sites that meet corporate criteria; contacting and working with outside real estate professionals (i.e., brokers and developers) to assist in site generation and manage workflow; screening all sites presented for viability; performing internal analysis on all qualified sites; working closely with Finance to analyze site feasibility; and preparing initial site evaluation packages.
  • Works closely with construction department before finalizing sites.
  • Prepares letters of intent and negotiates business terms for leases and purchase agreements. Prepares other documents as required including, but not limited to, leases, amendments, license agreements, purchases agreements, estoppel, right of way forms, option notices and termination notices. Works closely with Legal to ensure accuracy of documents.
  • Tracks, manages and abstracts all leases and renewals, including follow up on leases by way of lease expiration log.
  • Administers real estate database including entry format, creation of customized reports and dashboards.
  • Interprets leases/documents and performs database entry for leased and owned properties, including abstracting of new and revised documents, termination of non-active properties, continuous updating of rent schedules and escalations data, amounts due Lessors, key terms and conditions and critical dates for future action.
  • Interacts with vendors, lessors, brokers and all levels of WellSpan personnel to schedule showings and meetings.
  • Maintains tenant, vendor and landlord property files
  • Collects and tracks vendor certificates of insurance and ensures compliance with company requirements
  • Reviews reconciliation statements and real estate tax calculations to ensure accuracy and lease compliance.
  • Performs rent analysis and rent payment processing monthly.
  • Resolves issues relating to rent with Finance and/or Landlords.

Qualifications

Minimum Education:

  • Associates Degree Required

Work Experience:

  • 3 years Work experience in lease administration, commercial property management or commercial real estate. Required and
  • Commercial Real Estate or Commercial Property Management. Required

Knowledge, Skills, and Abilities:

  • Ability to interpret complex commercial lease language, advanced financial/analytical skills.
  • Excellent oral and written communications skills, superb organization skills and superior attention to detail.
  • Ability to work independently and within a team to build relationships and interact effectively with business partners.
  • Ability to negotiate business terms of a lease or purchase contract on the behalf of project owners.
  • Familiarity with tenant improvements and how it relates to the business terms of a commercial lease.
  • Ability to multi-task, work successfully under pressure and effectively manage time and workload.
  • Advanced proficiency in Microsoft Office (Word, Excel, Outlook) with the capability to master company specific database programs and data analytics software.
