Position Summary:

General Summary:



Under the general direction of the Manager-Access Operations, is responsible for the daily operations of the Authorization Center functions and serves as a liaison between the Authorization Center and the Medical Group Practices. Develops and implements policies and procedures that guide best practice outcomes. Completes administrative duties including recruiting, orientation, training, performance evaluation and counseling of staff. Performs payroll and other financial functions. Encourages and fosters a team environment, and ensures that teams effectively share responsibilities and accountabilities for the Authorization Centers success.


Duties and Responsibilities:

1 Possess, initiate and mentor customer service excellence.
2 Ensures that the precertification and scheduling functions run smoothly and efficiently by overseeing operations, assigning staff and expediting problems.
3 Pro-actively partners with practices to maintain strong relationships. Communicates operational issues to practice managers to obtain timely and effective resolutions.
4 Serves as a primary contact for problem resolution and information gathering for customer complaints.
5 Works proactively with staff to identify areas for improvements, to facilitate problem resolution and to provide and maintain excellent practice/patient services.
6 Oversees staff by providing leadership and support in daily operations of appointment scheduling, obtaining insurance authorizations and completing Insurance Referral forms.
7 Responsible for ongoing training, education and call monitoring for staff and conducting performance reviews in accordance with System Policies.
8 Champions change, motivating persuasively and getting results.
9 Routinely monitors processes and outcomes to ensure the overall quality of service is met or exceeded.
10 Plans budget in coordination with the Manager of Access Operations and Medical Group Administration to ensure appropriate staffing levels, equipment and enhancements necessary to meet service standards.
11 Pro-actively partners with phone and other vendors to ensure systems are well maintained.
12 Stays current on system functionality to ensure system utilization is optimized.
13 Recognizes and recommends operational improvements.
14 Develops and maintains procedures and practices that maximize productivity and profitability, as well as provide practice, patient and employee satisfaction.
15 Coaches staff to promote professional growth and employee retention.
16 Develops and maintains appropriate staffing levels.

Department Description:

The Authorization Center is a centralized WellSpan health department located in a beautifully restored loft building known as the Greenway Tech Building in downtown York.  The personal work spaces are state of the art with ergonomic design, dual 19 inch monitors, natural lighting and task lighting to assist staff with workflow and ensure a comfortable working atmosphere.

This department supports an exceptional patient experience by focusing on ensuring that any test, service or procedure that is referred or performed by a WellSpan Provider or Facility has the appropriate authorization and coverage information to ensure adequate reimbursement.
