Job Description:

Under the general supervision of the Manager-Payroll, processes and checks time records and payroll data to ensure the correct payment to employees.


Duties and Responsibilities:

  1. Using information system processes related to timekeeping and payroll, verifies time records for consistency and accuracy, clarifying inconsistencies with department supervisors/managers. Verifies that employee taxes are calculating correctly during payroll processing.
  2. Calculates retroactive pay, overtime, differentials, and other special adjustments and rates for computer or manual records. Calculates tax deductions, benefits, and other deductions for unusual or changed payroll data.
  3. Understands the proper taxation of employer paid benefits.
  4. Validates the payroll process during regular and off pay week processing
  5. Validates payroll records by reviewing online changes made by employees via self service for taxes, direct deposit and certain deductions, as well as, validating that mid-pay transfers and multiple positions are paying and expensing appropriately.
  6. Works with and educates managers/supervisors in the use of the timekeeping system to ensure accurate records and payroll processing. Helps employees to understand their payroll information, calculations, terminology and deductions. Investigates problems and makes appropriate corrections.
  7. Processes involuntary deductions, such as garnishments and levies, as well as produce and reviews corresponding reports.
  8. Maintains time records for employees on personal, educational or military leave of absences.
  9. Reviews personnel data for completeness and prepares and verifies information for local, state and federal tax reporting.
  10. Maintains retirees’ for lump sum PTO payout, calculates accruals for payout at termination and reviews and mails termination checks.
  11. Uses document imaging to maintain required payroll files and records.
  12. Based on differing pay rules between entities, coordinates with Human Resources staff to clarify employee information and implement changes in status, and to ensure correct, consistent interpretation of personnel policies.
  13. Maintains employee confidence and protects payroll operations by keeping information confidential.
  14. Prepares and sends requests for wage and unemployment verifications to government agencies and financial institutions.
  15. Performs scheduled and regular tasks as part of the payroll processing.



  • Minimum Experience:
    • 6 - 12 months
  • Minimum Education:
    • High School or G.E.D.
  • Skills:
    • Mathematical/analytical; basic computer; problem-solving; multi-tasking
