Job Description:

Under the supervision of a Vice-President or Medical Group Administrator, performs advanced, diversified and confidential secretarial duties requiring a high degree of technical and communications/interpersonal skills and the ability to exercise a high degree of independent judgement and discretion. Coordinates, schedules and takes minutes for Board- and senior management-level meetings/committees. Regularly communicates/interacts with WellSpan Health and community leaders (e.g., Board members, Medical Staff members, community organizations, executives). Administers/coordinates programs, projects, and/or processes as assigned.

 

Duties and Responsibilities

Essential Accountabilities:

  1. Types memorandums, policies, committee minutes, manuals, letters, forms, procedures, and other general typing as directed, initiating other documents and correspondence as appropriate.
  2. Composes letters and memoranda from dictation, verbal direction or from knowledge of appropriate policy or procedures.
  3. Schedules supervisor's appointments; maintains and updates supervisor's daily calendar.
  4. Schedules, coordinates and/or arranges meetings, appointments and/or facilities. Attends meetings and records minutes, as required.
  5. Answers telephones, routes callers, takes messages and provides routine information to callers.
  6. Collects information needed by supervisor for conferences and reports.
  7. Compiles data for and prepares regularly scheduled or special reports, analyses and statements.
  8. Takes and transcribes dictation of a highly confidential nature.
  9. Maintains confidential files.
  10. Responds to routine inquiries as desired by administration. Assists medical staff as necessary.
  11. Enters and/or retrieves data from established computer files using knowledge of various computer software applications.
  12. Opens and routes incoming mail; distributes correspondence and other material to staff.
 

Qualifications

  • Minimum Experience:
    • 3 - 5 years
  • Minimum Education:
    • Associate's Degree
  • Minimum Field Of Expertise:
    • Business Administration
  • Skills:
    • Intermediate computer skills; excellent interpersonal/communications skills; Transcription skills
