Position Summary:

General Summary:

 

 


Acts as a receptionist for visitors, serves as a central contact for telephone calls, a distribution point for electronic communication, occasional paper communication, perform diversified administrative secretarial and technical duties. Provides administrative support to the Case Management department.

 

 

The following are essential job accountabilities:

 

Demonstrates a professional focus on customer relations by greeting, directing and assisting patients, families and team members. Treats all individuals with respect, courtesy and empathy.
Answers the telephone using personable etiquette. Answers inquiries by providing accurate information or forwarding calls to appropriate resource. Promptly responds to unified communication system and email. Identifies emergency messages, facilitates information to the appropriate personnel. Maintains confidentiality.
Types memorandums, policies, committee minutes, manuals, letters, forms, procedures, Power Point presentations and other general typing as directed, initiating other documents and correspondence as appropriate.
Schedules, coordinates and/or arranges meetings, appointments and/or facilities. Attends meetings and records minutes, as required.
Establishes and maintains files and records on an ongoing basis.
Handles multiple priorities simultaneously with ease and proficiency.
Reports actual and/or potential problems concerning patients, families and staff to the respective department manager.
Order and stock supplies as requested/needed for the department.
Distributes mail/correspondence to staff.
Enters and/or retrieves data from established computer files using knowledge of various computer software applications.
Compiles data for and prepares reports, analyses and/or statements needed by leadership for meetings, conferences or reporting.
Manage staff and leadership timecards, PTO (scheduled/unscheduled), leaves of absent daily- as guided by policy and procedure

Required Experience

Minimum Education:

 

Post High School Vocational/Specialized Training

 

 

Minimum Experience:

 

6 - 12 months

 

 

Minimum Field Of Expertise:

 

Secretarial training/general business courses
