General Summary:

Under general supervision provides support to Patient Access in managing the staffing and scheduling needs to ensure established service levels at all times. Monitors and utilizes statistical data as it relates to the creation and maintenance of daily schedules as well as metric reporting.

 

Duties and Responsibilities:

1 Serves as the systems administrator for the workforce management system and any other systems as they are implemented in Patient Access to assist in effectively managing all teams.

2 Creates and maintains schedules for staff to ensure optimal coverage by using statistical data to project future operational needs for daily, weekly, monthly and annual time periods.

3 Approves all requests for PTO which includes but not limited to time away for vacations, appointments, arriving late or leaving early. Administers staff scheduling needs in a fair and consistent manner.

4 Manages all time cards, reviewing and entering all required information into the time keeping system (KRONOS) as well as documenting all attendance issues and addressing with managers/supervisors/team leaders as necessary.

5 Coordinates with managers/supervisors/team leaders to schedule meetings, trainings, system set ups and events.

6 Assists with corrective action plans if necessary.

7 Compiles data and prepares regularly scheduled or special reports, and analyses as requested.

8 Provides long range forecasts to assist in projecting staffing requirements to expand teams as necessary. This requires extensive analysis of operational volumes, patterns, and trends which may vary by department, day of week, time of year, time of day, etc.

9 Ensures consistent workforce practices across all business lines.

 

Qualifications:

Minimum Education High School or G.E.D.

Minimum Experience 1 year of experience in workforce scheduling and/or current Patient Access department

Preferred Experience Knowledgeable in scheduling systems

Must be proficient in Microsoft Word, Excel, PowerPoint and Windows environments.

Must be able to handle numerous tasks at once and have the ability to maneuver multiple resources
