Job Description

Under the direct supervision of WMG Clinical Director, is responsible for supervising daily staffing operations as it relates to float pool, coordinating long-term and short-term staffing needs across the service lines, supporting critical staffing issues, extern program coordination across WellSpan Medical Group. Using information systems related to scheduling system operations (i.e. timekeeping system, electronic job board, etc.), including the update and maintenance of data, downloads, backups, trouble shooting, and reports preparation and generation. In collaboration with workforce management and informatics, oversees and provides end user support, and assists with system upgrades and maintenance. Using information systems related to timekeeping and payroll, verifies time records for consistency and accuracy, clarifying inconsistencies with department supervisors/managers.

Duties and Responsibilities

  1. Responsible for overseeing daily operations and supervising WMG float pool staff.
  2. Responsible for daily operations of the use of the staffing and scheduling system(s), including maintenance of data, downloading data from other systems, performing data back ups, and trouble shooting problems. Resets groups and updates the scheduling system at established times each scheduling period. This work includes oversight of the moonlighting portal and employee job board.
  3. Maintains a variety of data through the use of the staffing and scheduling system, such as new hire, transfer and termination data, qualifications, certification and licensure information. In collaboration with human resources, monitors licensure to ensure licenses are current and follows up as needed with managers/directors. (I hadn’t thought of this one but it’s a good one to include. This role could help with this WMG wide, as this impacts staffing when someone is delinquent.)
  4. Supports the work of the Workforce Management team (Thrive) regarding staffing guidelines, interface, and/or system issues
  5. Identifies and communicates staffing cycle dates and deadlines.
  6. Compiles data for and prepares regularly scheduled or special reports, analyses and statements.
  7. Maintains appropriate records, reports, and files as required.
  8. Verifies time records for consistency and accuracy, clarifying inconsistencies with department supervisors/managers.
  9. Maintains employee confidence and protects payroll operations by keeping information confidential.
  10. Coordinates clinical externship program across the WMG, ensuring appropriate extern placement and evaluations, to include supporting the placement of externs from the WMG / HACC Medical Assistant program.
