Staffing & Scheduling Assistant - Patient Logistics - York - Part Time - Day/Night

Position Summary:

General Summary:

Under the direct supervision of the Nurse Manager, develops staffing plans every four hours on a daily basis. Makes assignments for the Nursing Resource Team and Flex staff, plans and publishes schedules, assists with interfacility transfers and patient flow throughout York Hospital/WellSpan System through electronic health record.

Duties and Responsibilities:

1 Determines nursing personnel staffing needs using unit census and acuity levels. Reviews unit projected staffing needs and availability along with nursing personnel schedule requests.
2 Prepares unit schedules based on census and acuity level information, projected staffing needs and availability, nursing personnel schedule requests, and staffing guidelines at the identified timeline. Submits to appropriate unit manager for final approval.
3 Produces and posts the approved schedule on each unit. Makes changes as required.
4 Resolves disagreements concerning staffing assignments, or refers to manager, if necessary.
5 Reallocates staff to alternative units based on need, availability and reallocation guidelines.
6 Receives and records availability of Nursing Resource Team.
7 Schedules meetings, training and other requirements for staff.
8 Reviews/enters time records for missed hours and paid-time-off (PTO) on a weekly basis.
9 Provides administrative and customer service support to all entities of the York Hospital Transfer Center, to include accepting incoming phone requests for transfers, requests for direct and scheduled admissions, obtaining patient demographic and insurance information, and use of systems-based technology for patient registration and tasks.
10 Provides patient flow assistance, by monitoring bed availability, zone capacity guidelines, patient transports and coordinating all associated activities with the Patient Placement Coordinators to ensure timely patient placement and movement throughout the institution.
11 Performs various functions to ensure accuracy and expedite financial reimbursements by recording patient identification data, physician diagnosis, correcting and updating accommodation codes.
12 Understands and enters correctly the various types of registrations based on the services being provided by each particular entity and understands and demonstrates knowledge of insurance and enters and verifies information appropriately within the ADT registration system and other software applications.
13 Prepares reports for managers on a biweekly basis (e.g., absenteeism, tardiness, and late punches). Provides KRONOS report for employees who have reached corrective action.
14 Tracks available PTO and alerts the Nurse Manager when an employee does not have PTO for scheduled vacation; history of holidays worked and plan for holiday schedule at beginning of each year; and weekend absenteeism and plan for employee to make up holiday.
15 Enters and/or retrieves data from established computer files using knowledge of various computer software
16 Maintains appropriate records, reports, and files as required.

Required Skills

High School or G.E.D. required

Associates Degree in Healthcare preferred

Required Experience

1 year experience in healthcare required 
Excellent computer skills; excellent interpersonal/communication skills; analytical skills 
Certified Healthcare Access Associate (CHAA) Certification preferred
