Staffing & Scheduling Assistant - Patient Logistics - PT (Day/Evening/Nights)

General Summary:
Under the direct supervision of the Director-Clinical Services, applies approved staffing guidelines to develop schedules for regular and Central Resource Team employees (from schedule creation to beginning of each shift). Updates Position Management, and maintains other specified reports and records for medical, surgical and cardiovascular service lines.


Duties and Responsibilities:
1 Determines nursing personnel staffing needs using unit census and acuity levels. Reviews unit projected staffing needs
and availability along with nursing personnel schedule requests.
2 Prepares unit schedules based on census and acuity level information, projected staffing needs and availability, nursing
personnel schedule requests, and staffing guidelines at the identified timeline. Submits to appropriate unit manager for
final approval.
3 Produces and posts the approved schedule on each unit. Makes changes as required.
4 Resolves disagreements concerning staffing assignments, or refers to manager, if necessary.
5 Reallocates staff to alternative units based on need, availability and reallocation guidelines.
6 Receives and records availability of Central Resource Team.
7 Maintains records of PRN staff to ensure monthly work commitment is met. Prepares reports for managers.
8 Enters and/or retrieves data from established computer files using knowledge of various computer software
applications.
9 Compiles data for and prepares regularly scheduled or special reports, analyses and statements.
10 Maintains appropriate records, reports, and files as required.
11 Schedules meetings, training and other requirements for staff.
12 Reviews/enters time records for missed hours and paid-time-off (PTO) on a weekly basis.

Department Description:
The Department of Patient Logistics provides service to Wellspan York Hospital for patient placement, inter and intra-facility transfers, direct admissions, patient placement, registration, and electronic visit updates. Formed in 2008, the department employs a growing team of Registered Nurses and Administrative Specialists to oversee and collaborate with clinicians and providers to expedite patient flow and patient throughput in the acute care environment. Through the use of multiple software applications, including the electronic medical record and Tele-tracking systems, our nurse coordinators provide clinical review and supportive decision making to determine the most appropriate and safe environment for patient placement. Along with supporting our nurses and organization, our administrative personnel provide excellent telephone customer service support and oversee financial updates in our ADT application for the entire health system.
