Job Description:

Under the Supervision of the Director-Rehabilitation Programs, ensures the daily efficient operation of the WellSpan Surgical and Rehabilitation Hospital (WSRH) admissions office. Processes referrals, performs insurance verification/authorization, completes the admission process and manages logistics and patient placement. Provides continuous communication regarding anticipated admissions, anticipating needs of patient and staff and taking actions to resolves problems and address needs. Ensures adequate staffing of the admission office and trains coverage staff. Coordinates support for the surgical reception function. Is responsible for monitoring performance and reporting of compliance with CMS requirements. Compiles and reports daily census metrics foundational to volume growth and management. May frequently be called upon to be the first contact for patients as they enter the WSRH and performs tours as requested for prospective patients/families. Performs a variety of functions including, but not limited to, patient interaction, working in a variety of computer applications and collection, recording and dissemination of accurate data. Represents the WellSpan Surgery and Rehabilitation Hospital with professionalism and understands and executes role in providing a superior patient experience. Works independently.


Duties and Responsibilities

Essential Accountabilities:

  1. Establishes priorities and resolves problems relating to day-to-day operations.
  2. Assists in training, orienting and evaluating staff. Prepares work schedules and makes recommendations for personnel actions.
  3. Provides administrative/secretarial support such as answering telephones, transcription, automatic time keeping, coordinating/ and ordering supplies.
  4. Types memorandums, policies, committee minutes, procedures, and other general typing as directed, initiating other documents and correspondence as appropriate.
  5. Enters and/or retrieves data from established computer files using knowledge of various computer software applications.
  6. Compiles data for and prepares regularly scheduled or special reports, analyses and statements.
  7. Receives and records patient referrals for admission. Verifies and ensures accurate financial, biographic and demographic information has been obtained and properly entered into the appropriate system to initiate the preadmission assessment process. Disseminates information to liaisons in a timely fashion. Reconciles referrals daily to completed preadmission forms. Manages eRehab data base for accuracy and updates the data base with denials in a timely manner keeping the referral board current and accurate.
  8. Verifies insurance benefits assigned to the organization on all patients referred for admission to determine if insurance coverage meets appropriate standards (rehab) and corresponds with patients needs.
  9. Ensures precertification of insurance is complete prior to admission.
  10. Communicates benefit determination in writing and in a timely manner with the liaisons/referral source. Facilitates financial disclosure to patients when indicated.
  11. Maintains thorough and reliable documentation in Eclipsys, as required.
  12. Collaborates with the Director-Rehabilitation Programs regarding any coverage exceptions. Initiates communication with financial case workers and follows case to ensure coverage. Works with WellSpan Finance/Contracting on single case agreements as indicated.
  13. Initiates all required insurance notifications prior to admission to mitigate any payment barriers.
  14. Completes telephone and online insurance authorization process when required by contract and records and communicates same to initiate transition.
  15. Maintains reference manual for insurance contacts.
  16. Manages compliance with CMS criteria for preadmission approval. Tracks all preadmission assessments and ensures that provider approval and signature are completed prior to admission.
  17. Prepares the patient admission packet and prints armbands and labels for each patient admission. Executes admission in the Sunrise/Eclipsys ADT system. Manages admission forms/information for accuracy. Verifies and reconciles forms/information processed from the previous day. Makes corrections as indicated to maintain accurate patient information.
  18. When necessary, meets with patients/families upon admission to explain insurance benefits, coverage limits, etc. as applicable. Obtains signature as necessary on financial waivers and treatment consents. Scans patient insurance cards.
  19. Manages logistics related to patient transitions, including identification of bed capacity, room assignment, coordination with housekeeping, physician and treatment team assignment and communication of same, and arrival time coordination and communication. Collaborates with providers, nursing and administration.
  20. Serves as liaison between referring entity, liaisons, medical director, WSRH administration, internal case mangers and other staff to meet needs for information and to facilitate admission plan.
  21. Coordinates support for the surgical reception staff.
  22. Performs higher level functions in Sunrise/Eclipsys, corrects errors, performs direct admits, etc..
  23. Manages/processes copayments for WSRH surgical patients utilizing eCashiering and documenting all as per policy. Handles copays, self-payments, etc. according to established finance procedures.
  24. Brings known or suspected problems to the attention of the supervisor.
  25. Maintains and fosters effective public relations with patients and the public. Provide personal tours to prospective patients/family members.


  • Minimum Experience:
    • 6 - 12 months recent experience in a health care setting, preferably in rehabilitation admissions/registration
  • Minimum Education:
    • High School or G.E.D.
    • Pref EducationMedical Assistant – medical terminology
  • Preferred Courses:
    • Courses in information technology, typing, medical terminology, insurance benefits, Sunrise, Cerner
  • Skills:
    • Excellent communication and interpersonal skills; Must possess a minimum computer competency comprised of a working knowledge of Windows or comparable system, spreadsheet utilization, email and browser; Works with systems including, but not limited to, eRehab, Sunrise/Eclipsys, Cerner, eCashiering , Ascom Phone Messaging Works with confidential patient information – discretion a must
