Position Summary:

General Summary:

Under the supervision of a department director or a group of managers, performs diversified and confidential secretarial duties.  Requires an intermediate degree of technical and communications/interpersonal skills, knowledge and ability.  May administer/coordinate programs, projects, and/or processes as assigned.

Duties and Responsibilities:

The following are essential job accountabilities:

   1  Creates physician, resident and Advanced Practice Clinician master schedules. 

   2  Proactively reviews schedules to identify underutilization and realignment of resources to ensure access and appropriate physician utilization. 

   3  Serves as Master STO/PTO “gatekeeper” as Source of Truth.

   4  Maintains SPOK on call program to ensure patients and referring providers can reach gastroenterology physician on-call for urgent clinical needs.

   5  Answers telephones, routes callers, takes messages and provides routine information to callers.

   6  Schedules supervisor's appointments; maintains and updates supervisor's daily calendar.

   7  Schedules, coordinates and/or arranges meetings, appointments and/or facilities. Attends meetings and records minutes, as required.

   8  Collects information needed by supervisor for conferences and reports.

   9  Compiles data for and prepares regularly scheduled or special reports, analyses and statements.

  10  Enters and/or retrieves data from established computer files using knowledge of various computer software applications.

  11  Administers/coordinates programs, projects, and/or processes as assigned.

Required Skills
  • Associate's Degree
  • 2 - 3 years previous physician office experience
  • Business or Healthcare Administration
  • Basic computer skills; excellent interpersonal/communications skills; Transcription skills
