Position Summary:

General Summary:



Under the general supervision of the Director-Medical Records Services, plans, organizes and manages the overall operations of the Medical Records Department (MRD) including chart analysis/completion, scanning/indexing of documents, record storage and the release of information for continuity of care. Serves as a liaison for the Health Information Department (HIM) with medical staff, other hospital departments, physician office staff or customers requiring assistance or advice. Ensures compliance with Federal and State regulations and accreditation standards related to information management and documentation requirements.



Duties and Responsibilities:



1 Maintains current knowledge and ensures compliance in meeting accrediting and licensure requirements related to information management and documentation requirements.

2 Develops and implements changes to policies and procedures (organizational and departmental) to ensure a legal medical record that complies with regulatory and accreditation requirements. Serves as a resource to ensure that they are communicated clearly and followed consistently.

3 Develops processes and resources and coordinates staff schedules, work assignments, and workflow to improve efficiency and effectiveness of the MRD staff, including optimal use of the electronic health record work queues and reports.

4 Calculates and reports individual and group accuracy and productivity rates according to performance improvement standards, which are used for the performance management process. Assesses on-going training needs based upon findings.

5 Develops and maintains customer service oriented relationships with the Medical Staff, WellSpan Medical Group, Medical Affairs, Regulatory Compliance, Nursing Services, Case Management, other hospital and Corporate departments and external customers.

6 Serves as a liaison with the Medical Group in relation to the medical record scanning/indexing process and record storage and retention.

7 Ensures the integrity of the chart completion system and administration of suspension of clinical privileges policy as set forth by Medical Staff Rules and Regulations. Coordinates reporting of quality record reviews to the appropriate committees

8 Coordinates the approval process of forms, abbreviations, document types and scanning descriptions through the Medical Records Forms Committee, a subcommittee of the HIM Optimization Team.

Required Experience

Bachelor's Degree




Minimum Experience:


3 years of supervisory/management experience in a HIM environment




Required Certification/Registration:


Registered Health Information Administrator (RHIA) (Credentials issued by the American Health Information Management Association)
