Job Description:

Under direct supervision of the Manager/Supervisor-Patient Access Call Center, schedules and registers patients in advance for Digestive Health diagnostic and screening surgical procedures. Uses exceptional customer service practices. Represents WellSpan in a professional and positive manner.

 

Duties and Responsibilities

Essential Accountabilities:

  1. Answers and manages a high volume of incoming phone calls to the center. Provides exceptional customer service by identifying and addressing patient needs in a professional, positive, and caring manner.
  2. Works with physicians, patients, and facilities to schedule in-patient and out-patient procedures for York County.
  3. Performs outbound calls as necessary to patients to determine that all their needs are met.
  4. Conducts patient interviews by telephone to collect accurate demographic and financial information to complete registrations in advance for procedures across York County.
  5. Corresponds with clinical teams and physicians via the computer system with necessary patient information to coordinate care.
  6. Relays medical information to the clinical team to allow them to provide exceptional patient care.
  7. Enters and maintains detailed information on patients’ confidential records.
  8. Works cohesively with LPN staff as a clinical resource to coordinate patient care/scheduling.
  9. Understands and demonstrates knowledge of insurance and enters information appropriately into the Electronic Health Record – Epic for York County Outpatient Surgical Centers and hospital. Verifies insurance coverage utilizing Real Time Eligibility (RTE).
  10. Explains insurance coverages and requirements for pre-certifications/pre-authorizations, as applicable.
  11. Reviews physician and LPN recommendations to ascertain appropriate facility scheduling, pre-admission testing, and verify insurance coverage and eligibility.
  12. Contacts physician offices or other WellSpan departments when necessary to obtain additional information on behalf of the patient to ensure continuity of care.
  13. Responds back to the ordering physician’s office to receive necessary information and instructions. This involves understanding the patient’s diagnosis, medical history, and other pertinent medical information.
  14. Uses appropriate resources available to provide general information to patients as needed.
  15. Maintains positive working relationships with Digestive Health leadership, nursing staff, and office staff.
  16. When scheduling, using the electronic provider order, understands the steps needed to schedule and register the appropriate service, paying attention to the details of the patient’s diagnosis, physician verbiage, and department specifications.
  17. Uses the secure messaging function in Epic to communicate to patients.
  18. Uses the In-Basket messaging function in Epic to communicate with clinical and front office teams, when necessary, to ensure proper scheduling of patients.
  19. Promotes the active engagement of all employees and supports recognition of staff accomplishments.
 

 Qualifications: 

  • Minimum Experience:
    • 3 - 6 months
    • Min Field of Expertise Customer Service preferred, but not required.
  • Minimum Education:
    • High School or G.E.D.
  • Required Courses:
    • Medical terminology within first year
  • Skills:
    • Typing and basic computer skills.
    • Excellent communication and interpersonal skills
