Position Summary:

 

 

 

Temporary assignment for approximately 24 months

General Summary: Under the general supervision of the Manager – Grants Office and Special Projects, assist in the achievement of the goals of the WellSpan Philanthropy grants function by providing operational support. Support the grants function through Maintaining online database of grants applied for and received, prepare monthly grant invoices for approval, research grant funders, set up grant-related meetings, prepare notes from meetings, basic bookkeeping duties. Provide other general administrative support.

Duties and Responsibilities:

1 Assist in grants office and grants corporate finance operations functions including, but not limited to monthly grant invoicing, following up with grant teams and finance on grant expenses, assist in developing grant budgets.

2 Record and maintain accurate, grant information in the Amplifund database

3 As assigned and according to policies and procedures, schedule meetings, prepare materials and communications, manage meeting logistics and take notes at meetings.

4 Support, expand and enhance grant funder relationships through good stewardship practices. Respond to funder questions.

5 Use online resources to research potential grant funders.

6 Inventory and maintain supplies according to grants office needs; prepare and submit purchase orders, payment invoices and related processes.

7 Provide administrative support to Grants Office by assisting with office duties, including filing, meeting scheduling, phone answering, typing, assembling and distributing meeting materials, room set-up and other necessary duties.

 

 

 

Required Skills

Minimum Education       Associate's Degree 

Preferred Education       Bachelor’ Degree

 

 

 

Required Experience

 

2 - 3 years administrative experience including some bookkeeping

Must have strong excel skills

Ideal applicants have an accounting and finance background
