Client Services Representative - WellSpan Occupational Health

Position Summary:

General Summary:

Under general supervision,  provides client service support on behalf of WellSpan Occupational Health and other Well At Work services.  Demonstrates exceptional telephone skills and etiquette,  provides timely follow through,  communicates thoroughly,  facilitates response and resolution and hands off appropriately.   Provides support to the sales and account management teams. Demonstrates proficiency in utilization of electronic platform for client profile build and management of updates to account contacts, billing information, order sets, etc. 

Duties and Responsibilities:

  • Provides professional and courteous telephone support to incoming callers throughout the day.   Arranges for hand-off of coverage when not at the phone.    
  • Performs timely review of  voice mails and addresses each on a daily basis. 
  • Checks email box a minimum of twice daily and responds to all external inquires within two business days.  
  • Maintains an orderly account of inquires and request for service, subject matter questions and complaints.  Prioritizes and addresses these within two business days.  Manages these to resolution and follows up as necessary. 
  • Builds internal and external relationships.    Engages with appropriate internal and external sources to address and resolve client inquiries. Funnels leads for sales  opportunities to appropriate team members and assists as requested to create meaningful connections.  
  • Uses professional questioning and critical thinking to ascertain the background and reason for inquiries.   Provides appropriate and value based solution options and works collaboratively with employer representatives and internal resources/staff to optimize sales and service to prospective and current clients.  
  • Collects all required information elements to build and maintain accurate and current client company profiles within the electronic record system. Completes these builds expeditiously and with accuracy.   
  • Performs the tasks required for set up of off-site providers as part of a Third Party Administrator service provided to select clients for acquisition of services identified by the client.  Executes agreements,  communicates all necessary information internally and initiates related billing tasks.  
  • Attends various Well At Work (WAW) events including networking, education and marketing events as a representative of WellSpan WAW and specifically to establish relationships with key client companies and other community stakeholders.  









Required Skills
  • High School or GED
  • Proficiency in navigating and utilization of computer based applications
  • Extreme attention to detail
  • Ability to multitask
  • Advanced listening skills, as well as interpersonal and communication skills
Required Experience
  • 3 – 5 years in customer service related position 1 year experience in an Occupational Health/Employee Health office or employer based occupational health practice
  • 3 – 5 years in customer service related position
