Part Time (56 Hours Biweekly) - Day Shift

 

No Weekends or Holidays! 

 

 

 

General Summary:

 

Under general supervision, performs diversified administrative secretarial duties for department and functions as the “gatekeeper” for the department, requiring outstanding customer experience skills.  Must be able to multitask and function effectively in the midst of frequent interruptions. Requires superior organizational skills, attention to detail and ability to manage data accurately.

 
Duties and Responsibilities:

 

  • Answers telephones, routes callers, takes messages and provides routine information to callers. Answers phone promptly and returns calls in timely manner.
  • Responsible for checking patient in and obtaining signature for consent for treatment.
  • Schedules appointments/procedures done in department.
  • Faxes reports to physician offices as necessary.
  • Responsible for ordering supplies.
  • Efficiently navigates in Epic (electronic medical record).
  • Assists in creating reports using Microsoft Word, Excel or Epic.
  • Opens and routes incoming mail; distributes correspondence and other material as appropriate.
  • Knowledgeable of emergency response protocols.
  • Greets and directs visitors.
  • May be assigned to help manage timecards in Kronos system.
  • May be asked to cover secretary in another cardiovascular services department (after appropriately trained to do so).
  • Keeps accurate departmental information notebooks pertinent to front desk protocols and scheduling. Keeps front desk organized and maintains efficient, accurate processes.
  • Keeps manager and staff well-informed of changes/issues related to patient appointments/tests.

 

Required Skills

 

  • High School Diploma or GED
  • Post High School Vocational/Specialized Training including the completion of course for secretaries and medical terminology preferred
  • EPIC experience preferred
  • Excellent interpersonal and written/oral communication skills
  • Intermediate computer skills and ability to use various software applications in a windows environment
  • Strong attention to detail, maintaining confidentiality and professionalism
  • Ability to multi task; must be efficient and responsive in a fast-paced environment
  • Must maintain a high level of energy while working independently or as part of a team
Required Experience

 

  • 6 - 12 Months clerical/administrative experience
