Job Description
Under the supervision of a department director or a group of managers, performs diversified and confidential secretarial duties. Requires an intermediate degree of technical and communications/interpersonal skills, knowledge, and ability. May administer/coordinate programs, projects, and/or processes as assigned.
Duties and Responsibilities
- Types memorandums, policies, committee minutes, manuals, letters, forms, procedures, and other general typing as directed, initiating other documents and correspondence as appropriate.
- Answers telephones, routes callers, takes messages and provides routine information to callers.
- Schedules supervisor's appointments; maintains and updates supervisor's daily calendar.
- Schedules, coordinates and/or arranges meetings, appointments and/or facilities. Attends meetings and records minutes, as required.
- Collects information needed by supervisor for conferences and reports.
- Composes letters and memoranda from dictation, verbal direction or from knowledge of appropriate policy or procedures.
- Sets up and maintains files and records which may contain confidential information.
- Takes and transcribes dictation of a highly confidential nature.
- Compiles data for and prepares regularly scheduled or special reports, analysis and statements.
- Enters and/or retrieves data from established computer files using knowledge of various computer software applications.
- Opens and routes incoming mail; distributes correspondence and other material to staff.
- Administers/coordinates programs, projects, and/or processes as assigned.
Qualifications
- Minimum Experience:
- 2 - 3 years
- Minimum Education:
- High school diploma or equivalent (GED)
- Minimum Field Of Expertise:
- Business Administration
- Preferred Education:
- Associate's Degree
