Job Description

Under the general supervision of the Manager-Medical Staff Services, performs advanced, diversified, and confidential administrative duties requiring a high degree of technical, interpersonal, and communication skills with the ability to exercise independent judgment and discretion. Coordinates, schedules, and takes minutes for meetings and committees. Provides data management support and completes projects as assigned.

 

Duties and Responsibilities

1. Synthesizes memorandums, policies, committee minutes, manuals, letters, forms, procedures, and other documents and correspondence as appropriate.

2. Schedules, coordinates, and/or arranges meetings, appointments, and/or facilities. Attends meetings and documents minutes, as required by accreditation, regulatory, or other applicable bodies. Provides technical and administrative support to the Medical Staff officers, committees, and department chairpersons. Prepares accurate documentation of activities and assures follow-up action is taken.

3. Maintains data management skills with current knowledge of supporting technology and software programs within Medical Staff Services. Maintains information management expertise with current knowledge, supporting technology, and software programs within Medical Staff Services.

4. Supports Medical Staff Coordinator role and function. Coordinates and provides administrative support to the Medical Staff credentialing and privileging activities according to Medical Staff policies, Bylaws, and Rules and Regulations to assure that only qualified practitioners provide care in the entity.

5. Collects information needed by Manager or Director for conferences and reports.

6. Sets up and maintains electronic and hard-copy files which may contain confidential information.

7. Compiles data for and prepares regularly scheduled or special reports, analyses, and statements.

8. Enters and/or retrieves data from established computer files using knowledge of various computer software applications.

9. Opens and routes incoming mail; distributes correspondence and other material.

10. Answers automatic call distribution line, routes callers, takes messages, and provides routine information to callers.

11. Prioritizes workload to meet important deadlines and completes projects within the expected timeframe.

12. Demonstrates ability to flex time and shift priorities to meet multiple demands.

13. Completes 3 Medical Staff Services Opportunities for Improvement (OFIs) during the performance period.

14. Produces and processes board letters.

15. Manages Medical Staff Dues

16. Manages entity-based credit card statements related to medical staff services.

17. Maintains Medical Staff Committee contact lists by Fiscal Year while collaborating with Medical Staff President and updating email distribution lists.

18. Manages monthly credentials expirable report within tight deadlines.

19. Coordinates social functions.

20. Provides dietary and nutritional support for meetings.

21. Maintains annual flu shot records for independent credentialed providers.

22. Serves as Subject Matter Expert for standardized communication tools within Medical Staff Services.

Qualifications

  • Minimum Experience:
    • 2 - 3 years
  • Minimum Education:
    • Associate's Degree
  • Skills:
    • Basic computer skills; excellent interpersonal/communications skills; Transcription skills
